Caddi connects to Filevine as a Certified Partner Integration, authenticating through a Personal Access Token tied to a dedicated Filevine Service Account. This guide covers enabling Caddi in your Filevine account, generating the token, and entering the credentials in Caddi.
Filevine enables partner integrations per customer. If you don't see Caddi in your Filevine Integrations list, contact Caddi support so we can start that process with Filevine before you begin.
Before you start
You'll need:
The Account Admin role in Filevine — the Integrations and Service Accounts tools under Advanced are only visible to Account Admins
Owner or Admin access to your Caddi organization
Caddi enabled as a Certified Partner Integration on your Filevine account (see above)
Step 1: Activate Caddi in Filevine
Sign in to Filevine and open Main Menu → Advanced → Integrations.
Find Caddi in the list and click Learn More to review the permissions it requests.
Click Activate.
Step 2: Create a Service Account
Caddi authenticates as a Filevine Service Account rather than as a person. That keeps the integration working when staff change roles, and makes Caddi's activity clearly identifiable in Filevine's audit history.
Open Main Menu → Advanced → Service Accounts.
Click New.
Select Caddi from the integration dropdown. Do not use the Adhoc option — that is intended for one-off personal integrations.
Grant the permissions your loops need. You can grant everything now and narrow it later, or configure granular permissions up front.
Click Create.
Caddi can only do what this Service Account is permitted to do, so this is where you control the integration's reach.
Step 3: Generate a Personal Access Token
Open Filevine Account Manager → Access Tokens → Personal Access Tokens.
Create a new token and associate it with the Service Account you created in Step 2.
Copy the token somewhere safe.
If your firm generated its own Client ID and Client Secret, you'll find them under Access Tokens → Client Secrets in the same area. Otherwise Caddi support will supply the partner values to use.
Treat the token like an administrator password. Share it through a password manager, never over email or chat.
Step 4: Configure Filevine in Caddi
This step must be completed by a Caddi organization owner or admin.
In Caddi, open Integrations in the left sidebar, then click the Integration Setup tab at the top of the page. This tab is only visible to organization owners and admins.
Find FileVine in the list and click Configure.
Enter the following values:
Personal Access Token — the token from Step 3, bound to your Caddi Service Account
Client ID — the Client ID registered in Filevine
Client Secret — the Client Secret paired with that Client ID
Click Save Configuration. Caddi validates the credentials immediately — if something is wrong you'll see an error right away, and nothing is stored until validation passes.
How the connection behaves
One shared identity. Everyone in your Caddi organization who uses Filevine in a loop acts as the Service Account. Filevine permissions and audit logs reflect that account, not the individual Caddi user.
Revoking access. Deactivate the Service Account or delete its Personal Access Token in Filevine to cut Caddi off immediately.
Client secrets expire after one year and cannot be extended or renewed. Plan to replace them before the anniversary of issuance — an expired secret stops the integration with no grace period. Note the date somewhere you'll see it.
Filevine blocks anonymous IP addresses. If your firm routes traffic through a consumer VPN or proxy, requests may be refused.
Troubleshooting
invalid_client when saving the configuration
Most often the Client ID/Secret pair is for the wrong Filevine region — Filevine runs separate identity endpoints for the US and Canada. Confirm which region your firm is on with Caddi support.
Caddi can see projects but cannot write to them
The Service Account's permissions are too narrow. Open Advanced → Service Accounts, select the Caddi account, and grant the missing project or section permissions.
The integration worked and then stopped roughly a year after setup
Your Filevine client secret has expired. Expired secrets cannot be extended — generate a replacement under Access Tokens → Client Secrets and update the configuration in Caddi.
Caddi doesn't appear in the Filevine Integrations list
Filevine hasn't enabled the partner integration for your account yet. Contact Caddi support and we'll initiate it with Filevine.
